Office Assistant Trainee

The Office Assistant is responsible for routine clerical support, providing support to Divisions and Administration within Human Services-Juvenile Justice Intervention Center (JJIC). The job duties outlined serve as the basic skills and responsibilities for the JJIC Office Assistant positions.

Reports to: Human Services-JJIC Administration

Entrance Salary

 $23,383 annually/$11.24 hourly

Description

  • Maintain files of correspondence, forms, records, and other material;
  • File material by predetermined filing system;
  • Sort and route incoming mail, packages, etc.;
  • Professionally answer telephone and provide accurate information;
  • Operate office equipment such as copiers, fax machines, shredders, and other office machines;
  • Responsible for departmental data entry using respective software (Microsoft Office, FMX, Integrated Juvenile Justice Information System (IJJIS), FAMCARE, etc.);
  • Prepare release documentation for discharged juveniles;
  • Record and maintain juvenile activity logs (programming, visitation, phone calls, etc.);
  • Greet guest entering the facility, assist staff with secure area movements;
  • Maintain and assist with office supplies and inventory needs;
  • Ensure and maintain volunteers and visitors submit the appropriate documentation;
  • To ensure safety, enforce juvenile visitation protocols and inform visitors of items prohibited in the visitation area;
  • Perform other duties as required.

Knowledge, Skills and Abilities:

  • Ability to perform clerical duties

  • Maintain confidentiality • Extremely responsible, punctual, and detail oriented

  • Knowledge of Human Services-JJIC policies and procedures

  • Ability to establish and maintain effective work relationships with staff, patrons, and individuals from diverse backgrounds

  • Ability to understand and follow oral and written instructions

  • Ability to represent Human Services-JJIC in a professional and courteous manner

  • Knowledge of business English and mathematics

  • Able to effectively manage assignments under time constraints and changing priorities

  • Able to demonstrate excellent internal and external customer service and communication skills through verbal, written, and electronic communications

Work Week: 40 hours per week, subject to flex time

Employment Requirements

• Must maintain an Orleans Parish domicile
