Customer Service Representative/Receptionist

Description

To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed in this document are representative of the knowledge, skill and/or ability required.

DUTIES

  • Meet and greet attorneys, parents, families, visitors, and members of the public and direct persons to correct destination(s)
  • Answer telephones promptly and courteously within two (2) rings
  • Take and promptly relay messages for all court personnel and forward all calls and messages to appropriate personnel
  • Direct any and all calls, questions, inquiries or request to proper department, court personnel or qualified professional entity or resource
  • Refrain from commenting or discussing and/or advising any parties regarding court cases and/or the operation of Court sections
  • Provide general administrative and clerical support
  • Handling of all administrative level duties
  • Document sign-in time for all parties on appropriate docket
  • File docket and sign-in sheets
  • Assist Judges and OPJC staff, as requested
  • Assist Court sections with forms to be filled out daily for each section's cases, as required by the various sections of court
  • Tidy and maintain the receptionist area/lobby and/or promptly advise proper management personnel of any need for cleaning, upkeep and/or maintenance of reception and waiting area
  • Other duties as assigned by the Judges, Clerk of Court, Judicial Administrator, and other members of management

JOB REQUIREMENTS

  • High school diploma or GED required
  • Ability to provide public access to or maintain confidentiality of Court information and records according to state law
  • Ability to effectively communicate orally and in writing with co- workers, supervisors, other departments, social service agencies, probation department and the public, including being sensitive to professional ethics; gender, racial and cultural diversities; and disabilities
  • Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons
  • Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace and personal conduct
  • Must have a professional personal presentation
  • The desk must be attended at all times by the receptionist or appointed OPJC staff; Only persons authorized by the Judicial Administrator and/or Chief Judge are allowed to be seated at the front desk
  • Must have a high reliability and stress tolerance
  • Must pay attention to detail

PHYSICAL EFFORT AND WORK ENVIRONMENT

  • Incumbent performs duties in a standard office environment, involving sitting long periods, sitting/walking at will, lifting/carrying objects weighing 25 to 50 pounds, pushing/pulling objects, bending, reaching, crouching/kneeling, keyboarding, close vision, speaking clearly, hearing sounds/communication and handling/grasping/fingering objects. Incumbent maintains considerable contact with the public and may be exposed to irate/hostile persons.

 

RESPONSIBILITY

  • Incumbent performs duties according to a flexible, customary routine with priorities determined by the Judges, Judicial Administrator, and Assistant Judicial Administrator and service needs of the Court and the public.
